Task Management System
Empowering Operational Excellence Across Every Shift. Electronic logbooks, journals, task scheduling, guided shift handover and configurable digital forms and checklists in one operator-first workspace built on Ignition Perspective.
The challenge
Manufacturers face costly inefficiencies from missed tasks, poor handovers and unstructured communication. Fragmented paper binders, spreadsheets, scattered emails and ad-hoc communication leave operations, maintenance and quality teams without a structured, real-time flow of information.
Overview
The LOGICAL SYSTEMS Task Management System (TMS) unifies electronic logbooks, operational journals, task scheduling and standardised shift handover in a single operator-first workspace. Built on Inductive Automation's Ignition Perspective platform, it replaces paper notebooks and scattered emails with auditable, searchable digital logbooks, and makes work planning shift-aware, with SLA timers and escalation workflows keeping tasks on track. Tasks and log entries can be generated automatically from Ignition tags, alarms or historian conditions the moment thresholds are breached.
Shift handovers are standardised through guided packs, roll-forward of open items and secure e-signatures, so no critical information is lost. Permit integration, mandatory fields, audit-ready packs and validated signatures strengthen safety and compliance, while combining human-entered context with historian, OEE and EMS data improves decision-making. Embedded SOPs, training videos and competency sign-offs build workforce knowledge, and cross-site governance with template libraries brings consistency across the enterprise.
TMS also includes our complete electronic forms capability. A drag-and-drop builder turns maintenance checklists, safety audits, shift reports and deviation logs into digital forms with conditional logic, validations, scoring, signatures and photo or document uploads. Forms are assigned to roles, users or workstations, work on touch tablets, phones and desktops, and can be saved and resumed; every submission is timestamped, tagged with its machine or batch and fully auditable. Built-in document management keeps SOPs, safety data sheets and specifications at hand, and reporting turns submissions into compliance and completion KPIs.

Capabilities
What TMS does
Comprehensive Shop-Floor Coverage
- Electronic logbooks with categories, attachments, validations and e-signatures
- Calendar and shift-aware task views with recurrence, SLA timers and escalation workflows
- Automated triggers from Ignition tags, alarms or historian conditions create tasks and log entries
- Journals with threaded discussions, mentions, photos, videos and trend overlays
- Guided handover wizard consolidating open tasks, safety notices, permits and log highlights
- Dual-signed handovers with auto-generated reports and roll-forward of unresolved items
Hierarchical Contextual Modeling of Operations, Tasks, Logs & Shifts
- Enterprise, site, area, line and asset hierarchy aligned with ISA-95
- Open tasks, logbook entries and journal activity roll up from operator to enterprise
- Area dashboards show workload distribution, escalation patterns and unresolved items
- Configurable triggers from tag thresholds, alarm states, historian conditions or operator inputs
- Rules execute in real time, updating assignments within seconds and escalating threshold breaches
- Tasks delivered to shift-aware calendars, Kanban boards or mobile devices, with SOP links
Key Features
- Mobile and offline mode with voice, photo and video capture
- Knowledge integration: SOPs, training videos and competency sign-offs
- Cross-site governance with enterprise template libraries and site overrides
- Permit-to-Work integration with risk acknowledgements
- CMMS, ERP, OEE, EMS and historian integration
- Role-based security with SSO/AD/LDAP, compliance-ready audit packs and immutable records
Digital Forms & Checklists
- Drag-and-drop form builder with question logic, groupings, scoring, validations and repeat sections
- Built-in validations, conditional logic and pre-filled fields for complete, accurate data
- Images, signatures and document uploads captured as part of the form
- Forms assigned to roles, users or workstations, on tablets, phones, kiosks or desktops
- Submissions timestamped and tagged with the relevant machine or batch
- Automated alerts that trigger corrective workflows in maintenance, safety or quality
Document Management
- SOPs, safety data sheets and technical specifications stored in Ignition
- Folder hierarchies, file tags, user-based filters and drag-and-drop upload
- Version history and downloadable previews
- Documents linked to forms, so operators see instructions before a task
Sign-Off, Reporting & Analytics
- Save progress, resume on any authorised device and sign off with confidence
- Clear states: in progress, awaiting sign-off and submitted
- Review, edit or clone past submissions for repetitive work
- SQL-based pivot reports with CSV, PDF and JSON export
- Dashboards for compliance rates, completion times and downtime root causes
Benefits
Why manufacturers choose TMS
Faster issue closure
20-40% faster issue closure through SLA workflows and escalation.
Fewer missed handovers
50% fewer missed handovers with guided packs and dual acknowledgements.
Less ad-hoc communication
30-50% reduction in ad-hoc communication by consolidating tasks and journals.
Stronger compliance
Audit packs, e-signatures and 21 CFR Part 11 controls strengthen compliance.
Productive, safer operations
Mobile capture with offline sync improves operator productivity, while permit linkage, mandatory fields and risk scoring make operations safer.
Knowledge and transparency
Embedded SOPs and training retain knowledge and empower the workforce, while enterprise dashboards give cross-site transparency.
Faster data collection
No double entry or manual transcription: data is captured once, at the source.
Complete, accurate data
Validations, conditional logic and pre-filled fields make every submission complete.
Immediate traceability
Every submission is centrally stored, timestamped and auditable for instant retrieval.
